    Introduction

    Congratulations and thank you for purchasing a Sovran™ locker system from the LapSafe® Sovran™ Smart Locker range. Sovran™ Metal AI lockers come with a limited lifetime parts and labour warranty. Sovran Laminate lockers come with a one-year parts and labour warranty. You will need to activate this immediately. 
    This online resource guides you through our recommendations for the set-up and correct use of the product.
     

    Note: Sovran­™ Laminate lockers have been discontinued as of Q2 2026.

    Important Actions

    Upon delivery of your new Sovran™ Tower(s) you must: 

    • Find the product serial number. This can be found on the inside of the service door (the locked top door). There will be a silver plate that holds your serial number that begins with "SOVR". Take note and store this in a safe place. You will need to quote this number for all enquiries relating to your Sovran™.
    • Take note of your key number(s) located on the key itself and store this in a secure place. You will need this if you wish to order additional keys.
    • Visit lapsafe.com/activate to activate your Lifetime Warranty. Your warranty will not be valid unless you do this.
    • Read the section on ‘Health & Safety’.

    Overview

    Your Sovran™ Tower is supplied fully assembled, tested and ready for installation by our engineers. Each Sovran™ Tower has a keyed lock on the service door, while each usable bay as well as the terminal screen area feature pop-open electronic locks. 
    We publish separate instructions for the use of the locks fitted on our Sovran™ range.

    BaseLine™

    The BaseLine™ option for Sovran is designed for non-charging assets. For BaseLine Lockers, the full area of the locker bay is designed for asset storage. There is no side compartment with power sockets in this version.

    ChargeLine™ Options

    Depending on the model, the side compartment may contain ChargeLine™ power sockets for charging. Socket variations we support include UK (Type G), Schuko (Type F), French/Belgian (Type E), Australian (Type I), Danish (Type K), Swiss (Type J), Italian (Type L), US NEMA (Type B), USB A and USB-C.
    The power to the sockets is controlled through a Power Management unit that is protected within the service area. 
    The unit comes with a 2 metre mains lead supplied.

    Installation

    Installation of your Sovran® system would have been carried out by our own engineers and the unit would have been plugged into the mains and/or connected to your network. If your unit(s) are connected to fixed spurs, then the final connection is your responsibility, and should be performed by a qualified electrical engineer.

    Every Sovran can be identified by a letter ID plate located to the right of the touchscreen. The first Sovran locker installed at your organisation will always be labelled with the letter 'A'.

    Charging of Devices

    Place each device into a locker charging bay – only one device per shelf.  Depending upon plug model, plug your AC adaptor, USB 2 or USB-C charging cable into the plug.

    • USB-C is available in two versions, 25w and 65w
    • The mains socket is limited to 3 amps 

    AI Camera Asset detection

    Sovran™ can detect presence of, and can verify the correct asset has been placed into the locker bay without needing to charge the device or scan any asset tags. This is done by the use of our ONARKEN AI system. This uses cameras fitted into the bays which take a picture of the internal view of the bay. The image is then sent to be processed by ONARKEN AI which compares the image of the asset in the locker and name/description of the asset saved on ONARKEN with images of the asset online. 

    AI asset detection cameras can be installed on BaseLine™ and ChargeLine™ locker bays. 

    Note: ONARKEN AI asset detection cameras are only available on Sovran­™ Metal.

    The cameras used for AI asset detection only scan the inside of the locker bays. They can be used for simple presence detection of an asset, or full visual confirmation of the asset positioned inside the bay, compared against the asset name and description configured on ONARKEN® The cameras are fitted in the top left hand corner of the locker bays.

    The cameras are installed at different angles depending on the size of the locker, to ensure maximum visibility of the locker floor and the asset placed within. 

    Please place assets in the middle of the locker to ensure the camera has full view of the asset. This will reduce false positives and inaccuracies in the AI detection process. Please make sure the cameras are left unobstructed at all times. 

    Any images taken of the inside of the bay by the camera can be viewed on the ONARKEN® management portal. The camera can also be calibrated through configuration on the ONARKEN locker software. 

    • You can place your assets at four different angles and calibrate your camera to scan assets being placed in the lockers at different positions
    • Try to include as much detail as possible in your asset type names and descriptions
    • Try to avoid using terms such as 'cable' and 'wiring' (without additional information), as in some locker bays the camera can view the earth cable installed on the locker door. The AI may consider the earth cable to be the 'cable' asset. 

    ONARKEN Locker Software

    The Sovran™  comes with ONARKEN locker software pre-installed and ready to use. This is operated from a 12" full HD touchscreen, positioned within convenient reach and compliant with DDA and EN 301 549 requirements. Users can scan their ID using the QR barcode reader, or type their user ID on the touchscreen keyboard to log in and access all available functionality from the software from there. No server applications on the locker PC are needed to set up or run the software. For a guide on basic functions and setting up the ONARKEN locker software, several guides will be released in due course.

    Please Note: At no time should any super admin login ID's for administrative use of the locker software be distributed to anyone other than authorised ONARKEN® administrators. 

    If you are using a SIP2 LMS, Sovran AI lockers are not compatible with SIP2 LMS integration in ONARKEN. 

    Service Door Operation

    Service doors are unlocked by a Camlock™ style keyed locks. The key is free at 9 o'clock position. Insert the key and turn the lock 90 degrees to the 12 o'clock position to unlock the service door. The key is held captive in this position. 
    Per installation the locks will be keyed alike. This means your one key can open each tower, this is perfect in the event you may need to turn the installation off or use the emergency opening feature.
    The door will pull itself into alignment when locking the door.

    • Do not bear weight on the door.
    • Do not force the door in either direction.  

    The service door key will be released once the service door has been locked. 

    Manual Override (Emergency Opening)

    The manual override unlock lever is found behind the service area door, at the top of each Sovran™ Tower. In the event:

    • Power to the units goes down.
    • Internet connection to the units goes down.
    • Mechanical failure of a bay lock(s).
    • Emergency access to bay(s) is needed

    The manual override in the service area can be engaged. This requires pulling the lever down gently. This will open each door in the tower simultaneously (including the screen terminal door).  

    Disconnecting your Unit from the Mains Supply

    Your Sovran™ unit is connected to the mains supply via a standard 3-pin power cord. Depending upon your installation's power specification will determine how you can isolate the unit from the main electrical supply. 

    Please note that each tower in an installation has its own mains supply, and all towers should be disconnected from the mains supply before any work is carried out on that installation.

    13amp Mains Plug (non-Switched): Remove the plug from the socket.

    13amp Mains Plug (Switched): Switch OFF the outlet and remove the plug from the socket.

    Switching On

    The locker bay towers are normally powered after installation/commissioning and should not be separately switched off. 

    To switch the PC and screen on, open the middle door of the User Screen Interface section (USI) and operate the PC's ON/OFF switch. The PC is mounted on a bracket on the right hand side of the USI. The power LED on the top panel will illuminate to confirm the power is on.

    It will take a few seconds for the Software to load up. The System will boot directly into the LapSafe® ONARKEN® locker software self-service application. 

    When the system is booting up you will hear the barcode/QR code scanner beep, this is normal.

    The 12” touch screen is switched on at all times. If the screen does not turn on, open the terminal locker door and check the power cable and HDMI lead are plugged in. 

    Thermal Trip

    In the United Kingdom the detachable mains lead carries a fuse for the protection of users. The power management cassette also has a resettable thermal trip.  This trip acts in much the same way as a fuse to protect users and it can be reset.  The thermal trip is mounted on the face of the assembly within the service door, accessed by the key. When the trip has operated there will be no power to the sockets and the centre button of the trip will extend by approximately 12mm.

    In the event of a trip: 

    1. First, switch off the power supply. If the reason for the tripping is apparent - if safe to do so - correct the issue.
    2. Allow at least 60 seconds to pass after it has tripped before attempting to reset the trip. Do no reset the trip with the mains power switched on.
    3. Press the centre of the button back into the trip.  When re-set the button will stay pressed when you release your finger.
    4. Restore the power to the power cassette and check that the trip remains set.
    5. If the trip operates again, you should first switch off the mains and then switch off or unplug everything in the locker sockets.
    6. Re-set the trip (items 2 and 3 above)
    7. Restore the power to the power cassette and check that the trip remains set.
    8. Then, one by one, re-plug everything into the locker sockets, switch on and check that the trip remains set. If the trip will not re-set or it continues to trip, there may still be a fault somewhere or the trip may have developed a fault. Please contact Support on (+44) 01787 226166 or lapsafe.com/support

    Network Connectivity

    If using a wired network connection, the unit will require a network socket behind the installation. This will then be wired into an RJ45 coupler fitted in the back of the screen unit specifically (ethernet cable supplied).

    Sovran­™ lockers can also be fitted with a Wi-Fi or 4G/5G antenna at additional cost. 

    Depending on how you intend to have organised your installation may help you best plan where the socket will be positioned. We recommend having your screen unit positioned in the middle of your install, however the choice is yours.

    Note: SmartLine™ device charging is not available on Sovran™ lockers. 

    Care and Maintenance

    Do:

    • Keep all locker doors closed when not in use
    • Keep your keys in a safe place and not in the same room as the Sovran™
    • Keep a record of any key numbers
    • Keep a record of the unit(s) serial number(s)
    • Read the Health and Safety guidelines in the user guide and share this information with all users
    • Activate your warranty at www.lapsafe.com/activate

    Do Not:

    • Do not leave keys in the door locks
    • Do not remove doors
    • Do not place flammable items in the locker bays (especially in Sovran™ Laminate)
    • Do not move the Sovran™ in anyway without contacting LapSafe® Support to arrange for a qualified LapSafe® Engineer to move your unit for you
    • Do not try to modify the Sovran™ in anyway without contacting LapSafe® first to check that it is safe to do so

    Cleaning

    Do:

    • Your Sovran™ has a powder coat finish which is very durable and can be wiped clean using a mildly soapy cloth.
    • To remove more stubborn marks or perhaps an adhesive residue you can use a gentle solvent such as white spirit or a mild solvent-based cleaner.

    Do Not:

    • Do not soak any areas of the locker
    • Do not get the power cassette, cooling fans or locker sockets wet
    • Do not soak any area with solvent
    • Do not use solvent cleaners on the locks

    Cleaning of fans

    Your Sovran™ unit has thermostatically controlled fans in the rear of the roof power supply unit, and in the rear of the screen terminal bay for cooling the PC. Under normal operating conditions, the fans are turned off. The fans will come on when the locker tower exceeds a pre-set temperature and will continue to run until the temperature decreases below its lower set point. If the temperature rises, the unit will shut down automatically and sound an audible alarm.

    Health & Safety

    All products manufactured by LapSafe® have been thoroughly tested and certified. Full CE and UKCA compliance, which includes the requirements of LVD and EMC directives, is a STANDARD FEATURE of any solution manufactured by LapSafe®, as are many more built-in safety features. CE and UKCA Marking can be found on the product serial number plate. A CE and UKCA Declaration of Conformity Certificate is issued with each product in the User Guide Pack. 

    Please review the following safety information:

    At no time is the top service panel or side panels of the Sovran™ to be opened by anyone other than an authorised person.

    At no time should the manual override unlock lever be used by anyone other than an authorised person. 

    At no time should the guard panel in front of the PSUs and control boards in the service panel be removed by anyone other than an authorised person.

    • If removed, this panel must be re-installed before closing the service area and using the Sovran™ again. 

    At no time should any super admin login ID's for administrative use of the locker software be distributed to anyone other than authorised ONARKEN® administrators. 

    At no time should anyone attempt to physically lift or move the unit(s), as this could cause injury to the persons concerned and even cause damage to your Sovran™, which will invalidate the manufacturer’s warranty.

    Should you need to move/re-locate the unit(s) you are advised to seek advice from LapSafe®.
