Notifications have been divided into categories, that now clearly define the difference between notifications sent to end users and 'arrangers' (i.e. users that arrange drop-offs, collections, reservations etc. for other users), and 'Admin' notifications. User notifications are now grouped by 'Notification Template' sections as notifications for both end users and arranger users.
To be able to enable and update any End User or Admin notifications, your user must have a role that has the permissions general.notification_templates.
To enable and update any Webhook notifications, your user must have a role that has the permission general.webhooks
To access the notifications page, from the ONARKEN® dashboard, click the Notifications button at the bottom of the sidebar.
You will then see the Notifications Dashboard. From here you are able to access:
- Notification templates (end user & arranger notifications)
- Admin Notifications
- Webhooks
You will notice here that along with the status of the notification being reported (i.e. enabled or disabled, 'Location overrides' will be reported too. This is because notifications can be customised or 'overridden' between locations.

Notification Templates:
These notifications are aimed at the individual users involved in a transaction. For example the user that has loaned a laptop, or a user who has arranged a transaction for another user.
They include notifications to:
- Provide receipt of transaction
- Warning of overdue or failed loans
- PIN code reminders
- Notification of available drop off bays, collections and swaps
- Notification of Hot locker assignment
- And many more...
End user notifications are sent by email, to the users email address that they were registered with on ONARKEN®. Individual notifications can be enabled or disabled. When enabled any transaction that corresponds to a notification will be sent to the user.
After clicking the 'Notifications' button on the sidebar, you will be taken to the 'Notifications templates' tab of the notifications page.
Notifications templates are split up into groups. There are 5 groups in total:
- Loaning
- Drop off & Collection
- Users
- Hot Lockers
- Vending
Click on an individual notification within a notifications group, and you will be taken to the template screen.
Each of the 'End User' notifications have a pre-configured template. These templates can be updated so the wording of the notification is more aligned with your organisations needs, or you can use the preconfigured text straight away if you would prefer.
The available variables and default template change depending on the notification being edited. Every default email template uses a pre-set arrangement of variables.
Below the configurable 'subject' and 'content' text fields are the 'Variables' options. When added to your email template (some are already used in the default template), they display dynamic information about various information about the transaction, including, but not limited to:
- Smart Locker installation name
- Locker bay number
- User's name
- Time asset was loaned at
On the left hand side of the template configuration, a list of all locations configured on the ONARKEN® instance are shown, including an option at the top to set a global template for all locations.

Admin notifications:
These are notifications that can be sent to site administrators or IT technicians. They are used to warn IT staff of events at the smart locker that require manual intervention. Examples include:
- When smart lockers go offline
- When locker bays enter quarantine
- Item return failures, due to the assets not being plugged in, or the incorrect asset being returned*
- When a fault report is submitted by an end user
- And many more...
Click the 'Admin' tab to go to the admin notifications page. The currently selected tab is highlighted pink.
You will see a page similar to the image below. If there are no admin notifications configured. Only the 'Add notification channel' card will be displayed.
* Incorrect asset notifications can only be sent by Sovran AI lockers.

Webhooks:
Webhooks are designed for developers to create third party integrations with ONARKEN, to receive notifications whenever events occur at ONARKEN® powered smart lockers. They allow your applications to receive real-time notifications about events happening in our platform. Instead of constantly checking (or "polling") for updates, webhooks let us send the information to yopu automatically as soon as something occurs. For example, if a collection has been completed or a loan goes overdue, we can instantly send that data to your system.
Webhooks make integrations faster, more efficient, and more responsive. They allow you to trigger workflows in your own applications such as recording statistics, sending an email, or notifying your team without manual intervention.
Click the 'Webhooks' tab to go to the admin notifications page. The currently selected tab is highlighted pink.
